RentGuard Canada Privacy Policy

Scope

This policy applies to RentGuard Canada on the web and mobile, including Quebec, Ontario, British Columbia, Alberta and Nova Scotia modules.

Information collected

Current rent, proposed rent, lease dates, notice dates, building expense inputs, uploaded lease or notice files when provided, contact email, payment fulfillment metadata, administrative notes, technical logs and privacy-request records.

On-device scanning

When supported, camera/photo text recognition runs on the device. RentGuard does not upload the source photo or raw recognized text merely to perform on-device recognition. If you choose a server or Premium import workflow, the selected file and required extracted data are processed to provide that feature.

Accounts and Team Premium

Accounts may use email and password or a passwordless email code. Team Premium is granted only after the exact eligible email address is verified. Merely typing an organization domain does not grant access. Administrators may review, revoke, block or disable Team Premium.

Use

We use information to provide rental calculations or guided screening, generate documents and reminders, maintain saved cases, process verified account access, Team Premium, paid entitlements and support, prevent abuse, maintain security logs and improve reliability.

Storage and retention

Production deployments use access-controlled managed storage, retention rules and deletion workflows. Authentication challenges and sessions expire. Saved-case and account records are retained only as needed for the service, security, legal or operational requirements described by the deployed retention configuration.

Sharing

We do not sell personal information. Information may be processed by service providers needed for hosting, email delivery, payments, push notifications, document/OCR processing or security. Government and tribunal resources opened from RentGuard are separate services governed by their own privacy practices.

Security

RentGuard uses access controls, short-lived verification credentials, rate limits, audit records and transport security controls. No online service can guarantee absolute security, so protect your passwords, private case tokens and verification links.

Your rights

You may request access, correction or deletion of personal information and ask how it is handled. Account/data deletion can be requested from the public deletion page or the in-app controls. Mandatory privacy rights under applicable Canadian law are not waived.

Children and students

RentGuard is intended for adults handling residential rental matters. Student tools do not change that requirement. Do not submit another person’s sensitive information unless you are authorized to do so.

Changes to this policy

We may update this policy when features, providers, legal requirements or supported provinces change. Material changes should be communicated through the app or website where required.

Important: RentGuard Canada is an independent software service. It is not a law firm or government service and is not affiliated with the TAL, Ontario LTB, BC RTB, Alberta RTDRS, Nova Scotia Residential Tenancies Program or any government entity.

Deletion request

You can request deletion through the data deletion form or by email.
